DIGIT Interviews: Organisation of events: what is the future?

We continue our interview series. This time we enter the topic of Organisation of events: what is the future? Learn with Diana Guardado, project manager at F6S Innovation, one of the partners in the DIGIT project, about some of the key concepts for events organisation.

Diana Guardado is a professional with more than 10 years of experience in writing and coordinating innovation proposal submissions; managing innovation projects implementation (mainly Horizon Europe, H2020), pilots, communication and marketing activities; representing organizations in national and international events/demonstrations; defining strategic plans and actions; giving mentorship startups and entrepreneurial teams. 

1. What are some key considerations when planning the logistics and the teams for a physical event?

Objective of the session, size of the expected audience, budgeting, venue selection (transportation restrictions), date and time, security measures, technical support/equipment, catering, accessibility, internet coverage, signage, volunteering, regulations.

2. What are the essential technical requirements for hosting a successful online event?

A good internet connection is the most important one, next to the platform where the event will take place (could be Zoom, Teams, Google Meet, Webex), good light and a microphone. Testing before the event is also crucial, for example, testing the screen sharing options, chat/Q&A features, and changing hosts, among others.

3. What technologies or platforms are recommended for facilitating seamless interaction and collaboration between physical and virtual attendees in a hybrid event?

There are many! The video conference/streaming tool, take advantage of an event app (there are many, you just need to personalise according to the new event’s image), interactive boards (like Miro or MURAL), digital surveys tool (Slido, mentimeter or other apps), social media campaigns to raise awareness on the event and promoting interaction between attendees (for example promote challenges related to the event).
